In any situation, teleconferences are difficult! Here are some key principles:

  • Teleconference meetings have to be shorter than face-to-face ones.
  • The agendas AND all related documents need to be circulated (and agreed) well in advance.
  • It's the role of the chairperson to ensure that that remote members are brought in to the discussion. The pace needs to be slower, with more checks on understanding.

  • Groundrules should be agreed by all participants. These include:
  • There should be a leader of the discussion, identified to all parties.
  • Each time anyone speaks, they should identify themselves.
  • 'Side conversations' should be prohibited.
  • Participants should speak only when they have a meaningful contribution to make. One exception:
  • When agreement is being reached, all participants should comment briefly, and say that they agree, rather than remaining silent.
